Exhibitions and Trade Shows are a very competitive environment and as such, how your booth looks can make a huge impact on the success of the event for your company.

The exhibits that work the best create a space that is immediately eye-catching and makes the delegate want to interact or at worst have a closer look. Open, welcoming stands definitely work far better at attracting interaction than stands that are closed off. Though this does depend on the intended use of the booth.

    1. Is it an island, open on three/two/one sides?
  2. Have you checked the proposed flow of the visitors traffic
  3. Please include a site plan if possible
  4. What is the best orientation for the stand? It may at times be best to face a large visitor attraction, rather than an entrance.
  5. Do you wish your stand to be open and inviting or does it have to promote a more targeted approach with private meeting rooms?
  6. Do you require a kitchen area?
  7. What services do you require?
    1. Power, water & waste, telephone, internet, etc.
  8. Will you have a raised floor? (Such floors may require a ramp for disabled access)
  9. Do you wish to reuse the stand or elements of it?
  10. How much storage space do you require?
  11. Do you require display cabinets for products?
  12. Please list physical product to be displayed with photo examples/ manuals/ specs.
  13. Do you require any audio visual equipment?

  1. Are you certain the exhibition is the correct one? If so book early to get the best site available
  2. Book hotels early to obtain the best rates and locations etc.
  3. Appoint an exhibition stand design & project Management Company early to allow time for completion of visuals etc.
  4. Pass the exhibitors manual to the appointed company to ensure that deadlines for ordering services etc. for the exhibition stand are not missed as this will result in extra cost
  5. Decide graphic content early for production allowing plenty of time for the graphics to be sent with the exhibition stand if it has to be freighted Appoint somebody within the company to liaise with the design and project Management Company. This will hopefully help to stop design by committee which is generally a disaster
  6. How will you obtain details of visitors? Bar code readers, business cards, etc.
  7. How do you propose to judge the success of exhibiting at this event?

When you’ve decided to spend money on a new exhibition stand, it is very important to start promoting that stand and not only relying on the exhibition organizers to do it for you.

Consider the following methods:

  3. Brochures
  4. PR exercise
  5. Sponsorship
  6. Social Media
  7. Complimentary gifts
  8. Web site promotion

Promoting the stand is especially important if you are one of many providing the same or similar products/service at the show. If you do not tell your clients and potential clients you are exhibiting, there is a good chance that you competitors will be inviting them to their own exhibition stand.

The Global Association of the Exhibition Industry, UFI has released the results of their 12th Global Barometer survey, which show that the exhibition industry grew in 2013.

Reviewing the consolidated results over five years, the associations found a majority of companies in all regions reported an increase of their turnover since at least 2011. In addition, around half declared an increase of more than 10 per cent for 2013. However, 63 per cent of respondents stated that the impact of the “economic crisis” on their business is not yet over and most of them expect that it won’t be until 2015.

Residual effects of the crisis aside, most companies surveyed reported they are planning new strategic developments with 75 per cent planning new activities in either the classic range of exhibition activities (venue/organiser/services) or in live or virtual events (or both) and 49 per cent planning to expand exhibition operations to new countries.

“While we shall remain cautious about the development of the global economic situation, the exhibition media continues to demonstrate its strength with growth over the last four years,” said UFI managing director Paul Woodward. “The industry remains remarkably dynamic with a majority of companies positively embracing the challenges of new ranges of activity or geographical development.”

The 12th Global Barometer survey was answered by 178 companies from 57 countries. The Survey can be downloaded from www.ufi.org/research.

We have found that it’s important to know as much as possible about a company in order to get an understanding of how to design a company’s presence at an exhibition, roadshow or event. We also finds that it aids clients in getting a better understanding of their goals and what it may take to have a successful showing at a particular exhibition or event.

It also tends to point out things that an inexperienced Marketing Manager or Brand Manager may miss (sometimes even clients with experience can’t cover all the bases.) Things like storage after the show, why a previous exhibition design stand failed and will you need private meeting rooms?

In order to understand what you need from the exhibition stand, consider the following:

  1. Outline the aims of the exhibition stand: Product awareness, generate more sales, brand awareness, to promote a new product/service…
  2. Is the stand part of a re-brand, a new product launch or part of an ongoing strategy?
  3. What are the unique selling points of your company/product/service?
  4. Who is the target audience and what are their demographics? (Age, Social Class, Income Level, etc.)
  5. What industry are you targeting the stand at?
  6. List a few competitors
  7. Decide upon a budget which should include everything that would be required in the stand
  8. Do you wish to purchase the stand outright or hire it for each show?
  9. Generally an exhibition stand purchased outright will incur a storage charge unless used  frequently. It will also be subject to charges for refurbishment and amendments.
  10. How will you operate the exhibition stand? By demos, visuals with literature, a/v, etc.
  11. How many of your staff will be working on the exhibition stand at any one time?
  12. Will you provide refreshments?
  13. Will you have ‘giveaways’?
  14. Name an incident where a previous exhibition design stand failed? Why did it fail?

For its 90th anniversary Calligaris is introducing a new corporate communication strategy based on modernity and innovation, a process that has influenced the design of the exhibition space presented in preview at the Salone del Mobile 2013. Strongly characterised by external monochrome-filled background in modular forex that creates an uneven see-through effect surface, the structure enables the progressive discovery of the product.

The central part is devoted to the functional areas of reception and is distinguished by a suspended installation celebrating the history of the company. The exclusive use of institutional colours unequivocally communicates the equity of the brand, and two experiential and interactive areas called “smart lounge” and “virtual lounge”, in addition to the 9 3d monitors positioned at the entrance, complete the exhibition installation and the brand experience. The stand was designed to be reproduced to scale at other trade events reusing the same materials.

At Baselworld 2013, the Hermes presentation gives an impression of lightness and an open feel. The new La Montre pavilion has been designed by Japanese architect Toyo Ito and is essentially a two-story box with steel framework and a second inner structure made of wood, glass and metal. Behind the large steel frame of the 1,040m² structure there is an inner shell of 624 intricate wooden lattices, and in between the two layers, 167 plants provide fresh air and a green corridor.

Six Design Experts Give Their Views on Exhibition Stand Layout

DesignBuying a house and purchasing an exhibit are two very disparate processes. But one commonality they share, which can prove perilous, is floor-plan selection. After all, you can install top-of-the-line wiring and internal systems, incorporate the perfect blend of accoutrements, and apply the ideal design aesthetic. But you’ll never garner the results you’ve intended if you fail to select the right floor plan to suit your exhibiting needs.

Picking the wrong floor plan (aka layout) can impact your program’s effectiveness, influencing everything from your brand to your lead count. In fact, according to Erick Gustafson, senior exhibit designer at RES Exhibit Services LLC, “Since the layout often impacts everything else in your booth to one degree or another, layout selection is potentially more important than the graphics, messaging, and products on display.”

Giles Rickett, creative and marketing director at Pinnacle Exhibits, concurs. “The layout can impact how many attendees enter your space, where they go, what messages they see, and how long they remain in the booth.”

What’s more, layouts offer as much variation as mobile calling plans. So choosing between a fortress-style floor plan and a centerpiece layout, for example, is a shot in the dark without at least a bare-bones understanding of what each option has to offer. Matt Hill, president of The Hill Group, also asserts that this lack of knowledge keeps some exhibitors stuck in a rut with the same exhibit floor plan year after year.

Granted, some people might argue that exhibition stand designers, not exhibit managers, should be responsible for floor-plan selection. But Tony Castrigno, owner and designer at Design Contact, says that’s not always the case. “Relying on your designer to select the layout doesn’t ensure a successful outcome,” he says. “Come to the design table armed with a general understanding of the most common layouts.”

To help you understand the six most common floor plans, EXHIBITOR enlisted the help of Castrigno, Hill, Gustafson, and Rickett, along with Jeff Janes, creative director for Global Experience Specialists Inc.’s Minneapolis office, and Todd Schwartz, design engineer and estimating manager for Steelhead Productions.

The team not only expounded on the pros and cons of each layout but also offered key points of comparison regarding access, messaging, and traffic. And while the group agreed that these six layouts are the blueprints for almost all exhibit designs, they caution that variables exist within each, and you can (and should) change each layout’s components, size, and position to fit your needs.

A concept space by Toronto-based Dubbeldam Architecture + Design attempts to answer the question ‘How do you work?’ as part of Toronto’s Interior Design Show 2013 (IDS13). The new exhibit is presented by steel space, a container-based event design company.

Four studios were each given a shipping container to realize an idea for a workspace. Dubbeldam responded with ‘Pop-up Office’ a cubicle comprised of wooden modules made out of discarded shipping palettes that can be rearranged according to the user’s needs. The modules are broadly divided by the concepts ‘Focus’, ‘Collaborate’, ‘Lounge’ and ‘Refuel.’

The project’s aim was to create a working environment for a global culture, defined by dynamism and mobility; it’s only requirements a work surface and a place to plug in. The interiors of the space function like a continuous skin that folds to provide seating and storage.

Experiential Marketing: The HOTTBox for Shell at the Top Gear Festival

Getting that all important consumer engagement and overall emotional response is getting tougher these days, as marketing audiences become more selective in how they engage with a company. So, just how do you get increased engagement?

Think inside a box, that’s how! More accurately…create a new box…or 3.

HOTT 3 Dimensional Marketing, the exhibition display and trade show specialists, in conjunction with newly established boutique event design and production agency, Formative were recently tasked with producing an outdoor exhibit for headline sponsor, Shell, at the recently completed, sold out, Top Gear Festival in Durban.

Interestingly, the two companies came together via a Twitter Direct Message after both being asked to quote separately on the project by Shells global ad agency, JWT and decided to pursue a combined effort. (On a side note, this just goes to prove two essential points for modern marketing of any size business; Ignore Social Media at your peril and never underestimate the power of positive relationships.)

Going the experiential route, the two companies decided that the conversion of 3 shipping containers, into a slick, easy on the eye and fully interactive experience for Top Gear Festival goers, was the way forward.

After being briefed by JWT, the two companies joined forces and decided to change up the proposed 20 x 10 marquee initial concept, deciding it was too common, un-exciting and dull.  The two companies pitched both JWT and Shell on the converted container concept, who were suitable impressed and came on board without hesitation for a previously un-proven concept in South Africa.

The two companies got the sign off and in less than four weeks delivered three converted containers, that were converted in Cape Town, set up on time in Durban, looked outstanding and ready for the 70 000+ fans who attended the Top Gear Festival.

The conversion required the input of a structural engineer, both companies full production staff and involved hacking the huge shipping containers apart and then retro fitting with new floors, backlit ceilings, installing flip up/down side panels that convert into awnings, display panels for Shell Helix products, Shell branding and the installation of interactive activities that would satisfy the throngs petrol heads.

The interactive activities on the stand included,

  • A F1 Tyre Change competition, where audiences could get to experience just what it takes to change an F1 tyre. (Even celebs Sasha Martinengo and Tiff Needell where spotted giving it a go),
  • a Top Gear styled leader board to keep the tyre changes competitive,
  • A double F1 simulator race setup with Ferrari styling,
  • A Scalectrix racetrack for the younger visitors (and some of the older ones),
  • A Brazilian Cafe coffee bar where beverages where served
  • and an iMac / iPad experience centre.

So popular was this outdoor exhibit, it ran a queue for the entire two days and saw a phenomenal 5000 people pass through, resulting in a very satisfied client.

Look out for a bigger project for next year’s Top Gear festival which is already in the pipeline. Both HOTT 3D and Formative look forward to next year’s Top Gear Festival in Durban and wowing Top Gear Visitors even more.
