 Step 1: Selecting the Right Exhibition for Your Company

Choosing the best exhibition that matches your company’s sales, marketing, branding, or other objectives is your first step toward success. It is a challenge, however, since there are an estimated 30,000 business-to-business exhibitions held each year all over the world.

Here are some thoughts to facilitate your selection process:

1. Focus on those global exhibitions offered in the industry sector that are appropriate for your company.

2. Evaluate these exhibitions according to their importance within that sector, as well as their local, national, or international appeal. For example, how long have they been operating?

3. If your competition is exhibiting in these events, it may be a good indicator that you should consider exhibiting.

4. Carefully review the audience demographics (the published metrics or data about the visitors, exhibitors, press, VIPs, etc.). The exhibition visitor profile should offer your company a good potential for making sales or gathering sales leads. Do your customers attend the exhibition?

5. If your focus is on company branding, these visitor metrics should help you determine if there is an opportunity to achieve this.

6. Be sure that the company producing the exhibition has a good financial reputation. Find out how long they have been in business.

7. The total geographical area served by the exhibition should match your marketing needs.

8. The facility where the exhibition will be held should be evaluated, particularly for its technology offerings?

9. Evaluate the city where the exhibition will be held – are there good hotels nearby? What about entertainment opportunities for meeting with your current customers?

10. Consider accessibility to exhibition by air, rail, auto, since this will affect attendance. Are there other transportation options available?

11. Evaluate the support services offered at the exhibition. For example, translation services are usually required.

12. Finally, the time of year the exhibition will be held and political considerations can be important factors. After a thorough study, contact those exhibitions that are appropriate for your company’s marketing goals and needs. Remember that exhibitions are about making sales immediately, or significantly shortening the sales process for future sales.

Step 2: Setting Objectives

The second step toward exhibiting success is establishing objectives for your company’s participation. The sad truth is that 71 percent of exhibiting companies do not set objectives or plan strategies for their participation. Even worse, only half of these companies with objectives ever follow through on their stand. However, those companies that establish and measure objectives consistently achieve great success. Objectives provide direction for every aspect of your company’s exhibition participation: your marketing strategies, branding plans, budgets, exhibit architecture, graphics, products, literature, IT support, and the necessary staff.

Objectives & Sales: Objectives also stimulate sales performance in the stand, particularly if they are measured in terms of their quantity and quality of contacts by the staff. This means you should turn your company objectives into personal goals for each member of your staff to achieve at the exhibition. Research consistently proves that successful exhibiting companies make sales related objectives their priority.

Basic Objectives To set objectives, you must define what your company wants to sell, promote, market, brand, or communicate in an exhibition — and to whom. Typical objectives are any combination of the following:

1. Increase sales through new orders or qualified trade show leads.

2. Introduce new products or services.

3. Enhance your relationships with current customers.

4. Conduct market research.

5. Obtain contact names for the company’s e-mail list.

6. Open new markets or territories.

7. Gain media exposure.

8. Check out the competition.

9. Enhance the company image or brand.

10. Conduct sales meetings in conjunction with the exhibit.

11. Provide education to the visitors.

12. Recruit new employees.

Setting objectives is the first step in any successful exhibition marketing activity. As the marketing guru, Lawrence J. Peter, wrote: “If you don’t know where you’re going, you will probably end up somewhere else.”

 Step 3: Target Marketing

Target marketing is the next important step in the exhibition marketing process. In theory, it’s quite simple: you contact the visitors you want to see at an exhibition and tell them where your stand is located and what you are exhibiting, branding, demonstrating, etc.

Visitor Categories At an established exhibition, the visitor group is composed of the following categories:

1. Buyers and/or specifiers of purchases, some of whom will be attending for the first time, while others are loyal visitors, returning year after year.

2. Press representatives (both print and electronic).

3. Very Important Persons, VIPs or Opinion Makers.

4. International visitors.

5. Students, who may be influential buyers in the future.

6. Others involved with the industry.

 

Actual Target Audience It is important at this point to be realistic about the number of visitors you can expect to meet at any exhibition. You and your team must understand that not every visitor has an interest in what your company is exhibiting. In fact, research proves that approximately 15 percent of an exhibition audience has general interests in any product or service category. To be certain in your exhibition planning, consider 10 percent as your specific target audience.

  1. What site have you selected for your exhibition stand?
    1. Is it an island, open on three/two/one sides?
  2. Have you checked the proposed flow of the visitors traffic
  3. Please include a site plan if possible
  4. What is the best orientation for the stand? It may at times be best to face a large visitor attraction, rather than an entrance.
  5. Do you wish your stand to be open and inviting or does it have to promote a more targeted approach with private meeting rooms?
  6. Do you require a kitchen area?
  7. What services do you require?
    1. Power, water & waste, telephone, internet, etc.
  8. Will you have a raised floor? (Such floors may require a ramp for disabled access)
  9. Do you wish to reuse the stand or elements of it?
  10. How much storage space do you require?
  11. Do you require display cabinets for products?
  12. Please list physical product to be displayed with photo examples/ manuals/ specs.
  13. Do you require any audio visual equipment?
  14. How many literature racks, carrier bag hooks, etc.?
  15. Does your product require specialist lifting or handling?
  16. What is the maximum height allowed and do you wish to utilize this?
  17. Is it possible to suspend marketing material/stand elements from the ceiling?
  18. Do you understand the Health & Safety requirements – if not, we can help

  1. Are you certain the exhibition is the correct one? If so book early to get the best site available
  2. Book hotels early to obtain the best rates and locations etc.
  3. Appoint an exhibition stand design & project Management Company early to allow time for completion of visuals etc.
  4. Pass the exhibitors manual to the appointed company to ensure that deadlines for ordering services etc. for the exhibition stand are not missed as this will result in extra cost
  5. Decide graphic content early for production allowing plenty of time for the graphics to be sent with the exhibition stand if it has to be freighted Appoint somebody within the company to liaise with the design and project Management Company. This will hopefully help to stop design by committee which is generally a disaster
  6. How will you obtain details of visitors? Bar code readers, business cards, etc.
  7. How do you propose to judge the success of exhibiting at this event?

EVENT PROMOTION TIPS

When you’ve decided to spend money on a new exhibition stand, it is very important to start promoting that stand and not only relying on the exhibition organizers to do it for you.

Consider the following methods:

  1. Postal mail shots
  2. Emails
  3. Brochures
  4. PR exercise
  5. Sponsorship
  6. Social Media
  7. Complimentary gifts
  8. Web site promotion

Promoting the stand is especially important if you are one of many providing the same or similar products/service at the show. If you do not tell your clients and potential clients you are exhibiting, there is a good chance that you competitors will be inviting them to their own exhibition stand.

The main objective was to create an eye-catching installation that unified the different companies whilst not overpowering the exhibitors at ground level. Cavaletti + Pagliariccio opted for a suspended, undulating layer that was attached to the ceiling of the hall overlooking the show space.

Triangular panels of satin polycarbonate created a lightweight ‘organic cloud’ that looked like it was in constant slow motion and assumed different identities in a dynamic fashion thanks to the shifting hues. The special lighting effects were controlled with a series of motorised luminaires managed by a mixer to create ever-changing movement overhead. Beneath this glacial structure, visitors could take a seat in the lounge chairs positioned alongside the glowing spheres that were dotted around the space.

South Africa’s Biggest Exhibitions & Trade Shows

BizTradeShows.com recently released their list of the biggest trade shows around the world. The company has made it easy to break down the biggest and best trade shows by country, industry and month, with the aim of helping and facilitating business opportunities for SME’s, in finding relevant trade shows to either visit or exhibit on.

The company said that the evaluation of each trade show is based on a rigorous selection process that involves a panel of industry experts.

Criteria for the rankings include: The industry acumen of each trade show, the number of registered exhibitors, number of foot traffic through the doors, economic status of the host country, popularity and the impact of the trade show on the economy.

The South African Top 100 Trade Shows

There may be some dispute over the exact numbers and ranking system but here is their list of Top trade shows in South Africa.

Quick Take Aways:

The Automobile industry dominates the Top 10. With, Automechanika South Africa and the Johannesburg Motor Show ranking 1 & 4 respectively.

According to the Automechanika South Africa website, they have 547 Exhibitor companies
(383 international companies from 25 countries, 30% South Africa, 70% International) and a visitor count of 9 450 for the 2011 event.

Compare that with the No1 on the worldwide list  being, the Magic Apparel Show in Las Vegas, which has over 5 000 exhibitors and 60 000 visitors, you can see a massive difference in numbers. (And the India International Trade Show has over 100 000 visitors.

But remember the judging criteria does not necessarily focus on the highest numbers. For instance, Electro Mining which ranks number 4 on the South African list, triumphs Automechanika on both visitor and exhibitor stats. (Electro Mining – Exhibitors 730 and visitors 35 000). The Johannesburg Motor Show has a target of 250 000 visitors.

AfricaCom 2012 at the CTICC, Cape Town – South Africa

HOTT3D is proud once again to be associated with  AfricaCom  after a number of years of building exhibition stands for exhibitors and managing all the event signage.  AfricaCom 2012 organizers are promising attendees its most inspiring, exciting and thought-provoking event in 2012 and has revamped its focus  to embrace all aspects of the converging telecoms, media & ICT sectors

Every year of our association, we have seen this digital communications event grow from strength to strength and 2012 is promising to be the biggest and most exciting yet, as  AfricaCom enters its 15th year, promising over 7 000 decision makers at Africa’s Premier Communications conference and exhibition.

With over 250 of the world’s leading technology and solution providers already booked in, only 10% of allocated spots remain for the 2012 event, as at the beginning of August. Some of the bigger names that will be exhibiting include:

The Conference

Not only an exhibition,  AfricaCom also has a massive conference side to it. The conference side is packed with over 200 speakers, promising 125 hours of visionary keynote speeches, specialised streams, panel discussions, workshops, demo and massive networking potential.

How to Source Products at a Trade Show

Is your retail or ecommerce business looking for hot new products to sell? One of the best places to scope out new products is at a trade show. Trade shows are where manufacturers and wholesalers show off their hot new products, and offer a great venue to comparison shop among different product lines you might want to carry.

Here are some tips for sourcing products at a trade show.

Start by checking out trade shows that might be good for your industry. You can find directories of trade shows around the world at TSNN.com and find industry-specific ones through your industry association. These days it’s easier than ever to scope out shows ahead of time by visiting their websites. You can see who the exhibitors will be and whether they’re worth your while.

Be prepared. Pre-register for the show so you don’t waste time the day of the event. Bring plenty of business cards, your business checkbook and/or credit cards, and a rolling suitcase or other method for carrying documents, samples or brochures you collect at the show.

Plan your attack. Look at the show layout online (or pick up a directory when you get there if the information is not available online). Determine key vendors you want to see.

At the booths, get all the information you can about the companies you’re interested in, including product catalogs, literature and samples. Talk to exhibitors and exchange business cards. It’s a good idea to have a list of questions to ask ahead of time so you don’t waste your (or the exhibitors’) valuable time.

Get a feel for trends. Don’t focus so closely on a few booths that you miss the big picture. Walk the whole show and notice what colors, products or materials stand out to you. For example, if you’re at a home décor show, maybe natural fibers and colors dominate this year. Take notes on what you see and use your smartphone to take photos, too.

Take breaks. Wear comfortable shoes and take breaks now and then to grab a drink or snack. While you’re resting, gather your thoughts, take notes and plan the rest of your day.

Place orders. You can often get good deals at trade shows, so if you see a product you’re interested in, place an order now. If you don’t want to pay right away, see if the vendor will let you place an order now for delivery in three or six months and still give you the “show price.”

Follow up. When you get back from the show, organize your data, go through the literature you gathered and follow up with companies you’re interested in while the show is still fresh in both of your minds.

Experiential Marketing: The HOTTBox for Shell at the Top Gear Festival

Getting that all important consumer engagement and overall emotional response is getting tougher these days, as marketing audiences become more selective in how they engage with a company. So, just how do you get increased engagement?

Think inside a box, that’s how! More accurately…create a new box…or 3.

HOTT 3 Dimensional Marketing, the exhibition display and trade show specialists, in conjunction with newly established boutique event design and production agency, Formative were recently tasked with producing an outdoor exhibit for headline sponsor, Shell, at the recently completed, sold out, Top Gear Festival in Durban.

Interestingly, the two companies came together via a Twitter Direct Message after both being asked to quote separately on the project by Shells global ad agency, JWT and decided to pursue a combined effort. (On a side note, this just goes to prove two essential points for modern marketing of any size business; Ignore Social Media at your peril and never underestimate the power of positive relationships.)

Going the experiential route, the two companies decided that the conversion of 3 shipping containers, into a slick, easy on the eye and fully interactive experience for Top Gear Festival goers, was the way forward.

After being briefed by JWT, the two companies joined forces and decided to change up the proposed 20 x 10 marquee initial concept, deciding it was too common, un-exciting and dull.  The two companies pitched both JWT and Shell on the converted container concept, who were suitable impressed and came on board without hesitation for a previously un-proven concept in South Africa.

The two companies got the sign off and in less than four weeks delivered three converted containers, that were converted in Cape Town, set up on time in Durban, looked outstanding and ready for the 70 000+ fans who attended the Top Gear Festival.

The conversion required the input of a structural engineer, both companies full production staff and involved hacking the huge shipping containers apart and then retro fitting with new floors, backlit ceilings, installing flip up/down side panels that convert into awnings, display panels for Shell Helix products, Shell branding and the installation of interactive activities that would satisfy the throngs petrol heads.

The interactive activities on the stand included,

  • A F1 Tyre Change competition, where audiences could get to experience just what it takes to change an F1 tyre. (Even celebs Sasha Martinengo and Tiff Needell where spotted giving it a go),
  • a Top Gear styled leader board to keep the tyre changes competitive,
  • A double F1 simulator race setup with Ferrari styling,
  • A Scalectrix racetrack for the younger visitors (and some of the older ones),
  • A Brazilian Cafe coffee bar where beverages where served
  • and an iMac / iPad experience centre.

So popular was this outdoor exhibit, it ran a queue for the entire two days and saw a phenomenal 5000 people pass through, resulting in a very satisfied client.

Look out for a bigger project for next year’s Top Gear festival which is already in the pipeline. Both HOTT 3D and Formative look forward to next year’s Top Gear Festival in Durban and wowing Top Gear Visitors even more.

Outdoor Portable Display for Future Cape Town

Hott 3D, the exhibition stand, display and event branding company is pleased to announce its involvement with Future Cape Town and its ‘Your City Idea’ concept which be launched on 17th of  May 2012 at Cape Town’s new ideas district, The Fringe.

Temporary Public Exhibition Display

This is the first in a series of Activate Projects by Future Cape Town. Activate, is a sub-project of Future Cape Town which seeks to use structures, new and traditional media and powerful partnerships to engage citizens in different and innovative ways.

The public installation will offer visitors a chance to vote on two urban issues or questions, with four options to choose from. The options will be displayed as images or future visions for Cape Town, presented in four pigeon holes.

Hott3D’s involvement will be the design, manufacture and construction of the structures which will be used for this project. This investment is inline with Hott3D’s philosophy of giving back, and what better place to give back to, than our beautiful Cape Town and its people.

Future Cape Town, headed up by Rashiq Fataar, is a diverse collection of minds that are driven by sustainability and innovative approaches to modern urban design challenges.  Through cooperation and collaboration, they aim to inspire citizens, the public sector and the private sectors by focusing on, “Inspiring a more livable Cape Town” .

The Fringe is another urban initiative focused on showcasing Cape Town’s extraordinary design talent  and is an up-and-coming environment for design, media and ICT innovation, creativity and entrepreneurship.

THE FRINGE AIMS TO:

  • INCUBATE: Facilitate incubators and shared spaces for young designers and creative businesses
  • ENABLE: Facilitate innovation through industry support, prototyping facilities and the collocation of associated services
  • SHOWCASE: provide a platform for design talent to get to market and into public awareness

Exhibition detail:

  1.  The Your City Idea installation will appear in the form of a 2.5m high and 1.1m ballot box in The Fringe – Cape Town’s Design and Innovation District.
  2. The project takes place in The Alley – a continuation of Barrack Street, between Harrington and Canterbury Streets.
  3. All Capetonians, young and old, are encouraged to visit The Alleyway, to vote and have their say on the future of Cape Town.

Pharmaplan SASUOG exhibit

Based on a 6m x 2m floorspace this stand was an offshoot of an exhibit built previously for the Gyneacology division of Pharmaplan. It made use of existing graphic panels.  Products on display included Smecta, Linola, Cosmofer, Cathejell and Lomexin.

SASUOG was held at the Upper Eastside Hotel in Woodstock, Cape Town.

The exhibit used the following finishes

1. Raised tongue and groove timber flooring

2. Octanorm aluminium structure

3. Stretched fabric prints

4. Custom bar counters with backlit graphic panels

5. Hospitality including a water cooler and popcorn (always a hit on these shows)

The exhibit was in a prime position at the main entrance of the hotel Lobby ensuring a very busy stand for the congress duration. Popcorn is always a hit at these events to such an extent that we need to hire in extra help to run the popcorn machine.

Pfizer – SASMO SASCRO 2011

Our largest project of the year to date.

Pfizer took the main hospitality suite at SASMO/ SASCRO Oncology medical congress in August.  This entailed treating the entire stage at the Sun City Superbowl.

We chose a concept that was quick to install. All external walls where inflatable and internally lit with colour changing LED lighting. This created a soft space that was inviting, comfortable and an escape from the business of conferencing and the main show floor for doctors.

Features included:

1. Air-roof entrance

2. Inflate walls with internal LED lighting changing from soft white to subtle green

3. A fully stocked  smoothie bar

4. A fully stocked espresso bar

5. A variety of snacks

6. A full lounge and cafe area to each side of the exhibit

7. 2 large meeting suites with projector facilities utilising Octanorm Maxima

8. Free WiFi for delegates

9. Computer terminals for those delegates who didn’t bring their laptops.

10.  2 x emergency exits

Internally furnishings consisted of custom bar units, new furnishings, Octanorm maxima structures as well as eco-friendly Xanita board units to display product detail.

The crew at HOTT3D handled all aspects so that it was literally a walk-on, walk-off scenario for client.

All in all this project rolled out perfectly and smoothly, which is indicative of the pre-event planning we put into such projects
